Privacy Policy
Last updated: October 26, 2026 · Draft for attorney review
1. Who we are
PinaRental is operated by Evis Pina, doing business as PinaRental (the "Operator", "we"). This policy explains what information the Service collects, how it is used and the choices you have. It applies to landlords and office users who have an account, to tenants who use the tenant portal, and to visitors of this site.
2. Information we collect
- Account information you give us: name, e-mail, phone, business name and sign-in credentials (PINs are stored hashed).
- Property and tenancy data that landlords enter: properties, units, tenants and applicants (names, contact details, lease terms, documents, photos, payment history, maintenance requests, notices).
- Signature records: when a document is signed electronically we record the signer's name, the time, the network address, the device description and a digital fingerprint of the document.
- Payment information: online payments are processed by Stripe. Card and bank account numbers are entered directly into Stripe's secure forms and are not stored by PinaRental; we keep only what is needed to show the payment (amount, date, method, last four digits). If a landlord enables bank-file (ACH) withdrawals, the tenant's bank account number is stored encrypted and used only for that purpose.
- Technical data: browser type, device, network address, approximate time zone and usage logs needed to run and secure the Service. We do not use advertising trackers.
- Trial requests submitted on this site: name, e-mail, phone, number of units and the message you send.
3. How we use it
To provide the Service (leases, payments, notices, reminders, maintenance), to send transactional e-mails and notifications that you or your landlord configure, to prevent fraud and abuse, to support you, and to meet legal obligations. We do not sell personal information and we do not use tenant data for advertising.
4. Who we share it with
- Stripe (payment processing and payouts), under Stripe's privacy policy.
- Amazon Web Services (hosting, storage and e-mail delivery), in the United States.
- Push notification services of your browser or phone (Apple, Google, Mozilla), only to deliver notifications you turned on.
- The landlord and their office users: tenants' information is visible to the landlord whose property they rent.
- Authorities when required by law, and attorneys only when the landlord sends them a case file from the Service.
5. Retention
We keep your data while your account is active. Signed documents and payment records are kept for the time the law and the lease require (generally at least 5 years in Florida). When an account is closed, data is deleted within 90 days after any export, except records we must keep by law.
6. Security
Data is encrypted in transit (HTTPS) and at rest. Sign-in PINs are hashed; bank account numbers used for bank-file withdrawals are encrypted with a key held only on the server. Access to production data is limited to the Operator. No system is perfectly secure; tell us right away at the address below if you believe your account was compromised.
7. Your choices and rights
You can review and update your account information in the app, turn notifications on or off per device, and ask us to export or delete your account data. Tenants should contact their landlord first for corrections to their tenancy records, or write to us. If you are a California resident or covered by another privacy law, you may have additional rights to access, correct, delete or limit the use of your personal information; write to us to exercise them.
8. Children
The Service is for adults (18+). We do not knowingly collect information from children.
9. Changes
We will post changes to this policy here and, for important changes, notify account holders by e-mail.
